Schengen visa from Sri Lanka: the flight reservation requirement

Every Schengen checklist asks for evidence of your intended travel. It almost never asks for a purchased ticket, and several consulates ask you not to buy one until the decision is made.

What the rule actually says

Short-stay Schengen applications are governed by the Visa Code, which is common to all member states. It asks for documents indicating your purpose of journey, your means of transport and your intended return. The word used across consular checklists is “reservation”, and several missions state in writing that applicants should not purchase a ticket before a visa is issued.

That is the whole basis for the document. A flight reservation with a verifiable PNR proves the plan exists and can be checked, without asking you to spend a fare on a decision you have not received.

Which consulate you apply to

This matters before you book anything, because your itinerary has to match the choice. The rules run in order:

  1. Your main destination

    The country where you spend the most nights. Two nights in Paris and six in Rome means you apply to Italy, even if you fly into Paris.

  2. If nights are equal, your first point of entry

    Where the aircraft first lands in the Schengen area, not where you connect outside it. A Dubai or Istanbul connection is irrelevant.

  3. Representation arrangements from Colombo

    Not every member state has a mission in Sri Lanka. Several are represented by another country’s embassy or by an application centre. Check the representation before you commit to a route, because it decides where you queue.

Once the mission is decided, build the itinerary around it. If Italy is your main destination, the reservation should land in Italy or arrive there on the first Schengen sector.

How the VFS Colombo process runs

Most Schengen applications from Sri Lanka are lodged through the VFS Global centre in Colombo rather than at the mission itself. The sequence is predictable, and the flight reservation has a specific place in it.

  1. Book the appointment first

    Slots for peak season are taken weeks ahead. The appointment date, not the travel date, is the deadline your documents have to meet.

  2. Assemble the file

    Passport, form, photographs, travel medical insurance covering the Schengen area, bank statements, employment or business proof, accommodation, and the flight reservation.

  3. Order the reservation a few days before the appointment

    Holds expire. Ordering three months early leaves you with a dead reference on the day it is read. Tell us the appointment date on the request form and we issue so that it is live when it is checked.

  4. Attend, submit biometrics, collect

    Processing is commonly around fifteen calendar days and can run longer in season or if the consulate asks for more documents. Plan travel dates with that in mind.

What the checklist calls it, country by country

The wording varies slightly between the missions Sri Lankan applicants use most, and the variation tells you what to submit.

Wording is updated from time to time, so read the current checklist for your mission on the day you assemble the file. Where a mission asks explicitly for a paid ticket, buy the ticket; that is rare for short-stay visas, and usually appears only after an approval in principle.

Making the documents agree with each other

The most common avoidable problem is not a missing document. It is four documents describing four slightly different trips. Before you submit, check that these line up:

  • Dates. The first Schengen arrival and the final departure match your hotel nights and your cover letter exactly.
  • Cities. The route visits the cities you say you are visiting, in the order you say you will visit them.
  • Duration. The number of days requested on the application form equals the days the itinerary covers.
  • Insurance. Cover starts on or before the first travel date and ends on or after the last, with the minimum medical cover the Visa Code requires.
  • Leave. The employer letter covers the same absence, including travel days.
  • Name. Every document spells your name as the passport does.

Choosing the routing

Pick a carrier you would plausibly fly. From Colombo, SriLankan Airlines flies directly to a few European points and connects through the Gulf, Emirates and Qatar Airways cover almost every Schengen capital in one connection, and Turkish Airlines reaches the smaller cities other carriers do not serve.

Economy is correct unless your file needs to match something else. Cabin class has no bearing on a decision. If your checklist also asks for accommodation, order the flight and hotel bundle so both documents carry the same dates and the same spelling of your name.
