Dummy ticket for a Schengen visa from India, the UAE, Saudi Arabia and Qatar: how the itinerary fits the file

Schengen files lodged in Delhi, Mumbai, Dubai, Riyadh or Doha follow the same visa code as everywhere else, but the route to the counter differs: an outsourced centre, a residence permit question for Gulf residents, and a checklist that asks for a reservation rather than a ticket.

From India and the Gulf that document is read not by the embassy first but by an outsourced visa application centre, which is where the file is lodged and where the checklist is applied line by line.

Most member states use VFS Global in India, the UAE, Saudi Arabia and Qatar. Spain uses BLS International in India and several Gulf markets. TLScontact runs the centres for a few consulates, Switzerland among them in some countries. The centre is decided by the consulate you must apply to, so settle that first, then follow the checklist that centre publishes for that consulate, because wording differs between them.

Residents in the Gulf apply where they legally reside, not in their passport country. An Indian or Sri Lankan national living in Dubai lodges the file in the UAE, and one working in Riyadh lodges it in Saudi Arabia, even during a holiday at home. Consulates in the Gulf usually ask for a residence permit that is valid beyond the intended return date, often by three months, and some also ask for a no-objection letter from the employer. Check the exact validity rule on your own checklist, because a permit that expires during the trip is a common reason for a file to be turned away at the counter before the itinerary is even read.

What the checklist actually asks for

The Schengen states publish harmonised lists of supporting documents for each country of application, and the transport line is worded as a reservation, not a purchase. Indian and Gulf checklists typically read “flight reservation” or “round-trip flight itinerary”, several add that the applicant is advised not to buy the ticket until the visa is issued, and none of them ask for a ticket number. A flight itinerary for a visa application is therefore the right document, and a paid ticket is an expensive way of answering the same question.

What the officer wants from the itinerary is the entry and exit dates, the country you fly into, the country you leave from, and a booking reference that resolves on the airline website. The main destination and first entry rule, and how the itinerary proves it

The visa code says you apply to the consulate of the country that is the main destination of the trip, meaning the one where you spend the most nights or where the main purpose lies. If the stays are equal, you apply to the country you enter first. The consulate will check that the file supports the choice, and the flight itinerary is the first document it uses to do that.

Take a two-week trip from Mumbai with eight nights in Germany and five in the Netherlands, flying into Frankfurt and out of Amsterdam. Germany is the main destination, so the file goes to the German consulate, and the itinerary must show a Frankfurt arrival and an Amsterdam departure that match the hotel nights. A Paris arrival with no French hotel would contradict the accommodation, and that alone is enough to prompt questions or a refusal.

  • One country only: fly in and out of that country. Airside transit in Doha or Istanbul is outside Schengen and does not count.
  • Two or more countries, unequal nights: apply to the country with the most nights, and let the hotel bookings prove where the nights are.
  • Equal nights: apply to the country of first entry, and make sure the first flight lands there.
  • Open-jaw trips: arriving in one city and leaving from another is what a multi-city reservation is for. Each sector beyond the first two costs LKR 500 (about $2).

The airline and routing on the reservation rarely decide anything. What matters is that the carrier is real, the reference resolves, and the arrival airport is in the country you told the consulate you enter first. These are routings we issue regularly.

Timing the reservation and matching every date in the file

The Schengen visa code lets you lodge a file up to six months before the trip and requires it to be lodged at least 15 calendar days before you travel. Consulates aim to decide within 15 days and can extend to 45. The itinerary therefore needs to be live on the appointment date and, ideally, for as much of the processing window as the airline hold allows.   1. Fix the trip dates first

    Pick the entry and exit dates you will write on the application form. Every other document is built from those two dates.

  2. Book the appointment, then request the reservation

    Send the request a day or two before the appointment, not weeks before. A reservation issued a month early has usually expired by the time the centre scans it.

  3. Match the hotel to the arrival night

    Check-in on the arrival date, check-out on the departure date, no gaps between hotels if you move city.

  4. Match the insurance to the flight dates

    The policy must start on or before departure and end on or after return, covering every Schengen country. A policy that starts the day after you land is a defect the centre will catch at the counter.

  5. Verify the PNR the night before

    Open the airline website, choose Manage my booking, enter the reference and surname, and confirm the itinerary opens. If your appointment moves, message us for a reissue.

Refusal reasons that trace back to the itinerary

The standard Schengen refusal form lists a fixed set of grounds, and two of them are where an inconsistent itinerary lands you: that the justification for the purpose and conditions of the stay was not provided, or that the information submitted about it was not reliable. Officers do not need to find a fabricated document to tick either box. A reservation whose dates do not agree with the hotel, or a first entry that does not match the consulate chosen, is enough.

  • Dates that disagree: flight lands on the 10th, hotel starts on the 11th, insurance starts on the 12th. Three documents, three trips.
  • Wrong consulate for the itinerary: file lodged with Italy, flights and hotels show ten nights in France and three in Italy.
  • Expired reservation: the reference no longer resolves when the consulate looks it up.
  • Name mismatch: a middle name missing from the reservation, or surname and given name swapped, which is common on Gulf-issued bookings.
  • A generated PDF: a reference that belongs to nobody, which moves the file from unreliable to false and can carry consequences beyond one refusal.

We need the given names and surname of each traveller exactly as printed in the passport, the departure city, the Schengen arrival and departure airports, the entry and exit dates, and the appointment date so that we can time the hold.
