Dummy hotel booking for a visa: what it is, who asks for it and what the officer checks
Most Schengen checklists, and a good number of others, ask for proof of accommodation alongside the flight itinerary. A dummy hotel booking answers that line without paying for a stay you may never take. Here is what it is, who asks for it, and how to make sure it agrees with the rest of your file.

What a dummy hotel booking is
A dummy hotel booking is a real, confirmed hotel reservation, held without payment or on a free-cancellation rate, that carries a booking reference the consulate can check with the hotel. It answers the “proof of accommodation” line on a visa checklist in the same way a flight reservation answers the “flight itinerary” line: it shows where you plan to stay, on which dates, under your name, without committing you to a stay before the visa is decided.
The word dummy is unfortunate, because nothing about the booking is invented. The hotel exists, the room is held, and the confirmation is the one the hotel or the booking platform issued. What makes it a dummy booking is only that no money has changed hands and that you will cancel or rebook once you know the outcome. That is exactly how a flight reservation without payment works, and consulates are used to seeing both.
What it is not is a confirmation email with the dates or the name edited, or a template downloaded from a generator. Those are forged documents, and the line between a dummy ticket and a fake ticket applies to hotels exactly as it does to flights.
Which visas ask for proof of accommodation
Accommodation proof is standard for Schengen and Japan, common for Gulf visit visas, and optional almost everywhere else. The table reflects published checklists at the time of writing; rules vary between consulates and change without notice, so read the checklist for your own passport and centre before you rely on it.

Where the table says optional, the question is not whether the officer will refuse a file without it but whether the file reads as a plan. A UK or Canadian application that names a hotel on the form, matches it to the dates on the flight itinerary and shows the funds to pay for it reads as a plan. Where your own checklist lists proof of accommodation, treat it as required.
For Schengen the booking has to cover the whole stay you are applying for, night by night. Two or three uncovered nights are a frequent reason for a request for further documents from VFS Global, BLS or TLScontact, whichever centre handles your country, and each request adds days to the decision.
What the officer actually checks
The officer reading a hotel confirmation is doing the same job as the one reading the flight itinerary: confirming that the document is genuine and that it agrees with everything else in the file. In practice that comes down to five things.
- The name. It matches the passport, and the same person appears on the flight reservation. A booking under the name of a friend who “arranged it” does not prove where you will stay.
- The dates. Check-in on the day the arrival flight lands and check-out on or before the day the return departs. A hotel that starts the day after you land leaves the first night unexplained.
- The city. The hotel is in the country you are applying to and, for Schengen, in the member state whose consulate is reading the file, or the file explains why not.
- The reference. A confirmation number that the hotel or the booking platform recognises. Consulates do telephone hotels, and platforms answer queries about their own references.
- Coverage. Every night of the trip has a bed. Where there are two cities, there are two bookings with dates that meet.
What officers are not doing is checking whether you have paid. A free-cancellation reservation, an unpaid hold and a prepaid non-refundable stay all appear as a confirmed booking on the page. The payment status matters far less than whether the hotel knows the booking exists on the day someone asks.
Free-cancellation booking or a booking service
You can make a dummy hotel booking yourself on Booking.com, Agoda, Expedia or the hotel’s own website by choosing a free-cancellation rate. The reservation is real, the confirmation is real, and for a single-city trip with a card you are happy to leave on file it works. Three things trip people up.
- The card. Most free-cancellation rates want a card at booking, and some hotels pre-authorise or take a deposit that comes back weeks later. Some properties decline cards issued in Sri Lanka or India outright.
- The cancellation deadline. Free cancellation often ends several days before check-in. If the decision is late, you are choosing between a charge and cancelling a booking the consulate may still look up.
- Several cities, several passengers. Three cities, two travellers and one change of dates means six bookings to make, match and later unwind, each with its own deadline.
A hotel booking service does the same thing on your behalf: a confirmed reservation in the destination city, in the names on the passports, for up to 30 nights, with a reference the hotel can confirm and no card of yours involved. The hotel booking and the flight itinerary are read together, so build the hotel around the flights rather than the other way round.
Start from the flight itinerary
Note the date and time the arrival flight lands and the date the return departs. An overnight flight from Colombo, Dubai or Delhi lands the next calendar day, so the hotel starts on the landing date, not the departure date.
Cover every night
Check-in on landing day and check-out on the day of the return flight. If the return leaves after midnight, the last night is the night before, and the booking should show it.
Split the nights by city
For a two-city trip, book each city for the nights you will be there, with the check-out of the first matching the check-in of the second. A travel day is still a night somewhere.
Apply the main-destination rule
A Schengen file goes to the consulate of the country where you spend the most nights. If the nights are equal, it goes to the country of first entry. The hotel bookings are what prove which country that is, so the split has to be visible on paper.
Match the names and the head count
One booking per passenger, or a single booking that names every traveller in the room. A booking in one name for a family of four leaves three people unaccounted for.

What to send to get one
To arrange a dummy hotel booking, send the destination city or cities, the check-in and check-out dates for each, the number of guests, and each traveller’s given names and surname exactly as they are printed in the passport.
